Our Payment Terms & Cancellations Policy and Booking Conditions.

  1. Booking Conditions

    By making a booking with us, you agree on behalf of all persons detailed on the booking that you have read these booking conditions and agree to be bound by them. If you are booking as an agent for another person, you must ensure that each person has been made aware of these booking conditions and that they agree to be bound by them.

    We want you to have a safe and enjoyable holiday, please take the time to read the information in this document carefully. If you have any questions or concerns, please do not hesitate to contact us. We are always happy to help.

  2. Payments Terms and Cancellation Policy.

 Payments and Deposits,

A non-refundable deposit of 30% of the total booking value for all services other than airline reservations is to be paid upon confirmation. This deposit covers expenses and service fees incurred by the Company and will be forfeited in the event of a cancelation. For all domestic airline reservations, 100% payment is due upon confirmation; for services other than domestic airlines, the remaining 70% must be paid 20 days before the arrival date. In the case of bookings made within 30 days of arrival date, 100% payment is due at the time of confirmation.

The following cancellation procedures shall be observed during and after the bookings processes.

If a booking is canceled more than 60 days prior to the date of arrival, the Company will charge 10% of the confirmed total booking value. If the booking is canceled within 30-15 days prior to arrival 50% of the confirmed total booking value will be charged. If the booking is canceled within 15-0 days prior to arrival or in case of a no show, 100% of the confirmed total booking value will be charged. Airline reservations are non-refundable at all times.

The Company reserves its right to cancel any tour before departure, in which case the entire payment will be refunded without any further obligation from its side or right of recourse from the Client’s. Additionally, Clients should refer to the cancelation provisions stated in Third Party Suppliers Terms and Conditions or website as they may charge cancelation fees over and above those presented.

Our accepted payment methods.

We only accept two ways of payments.

  • Via bank wire transfers to our American Dollar Account indicated under your invoice.
  • Via secured payment link. Our payment gateway accepts either credit or debit cards around the globe you can use VISA/MASTERCARD/AMEX or card of your choice but each service card’s providers charge a certain fee for an online transaction which should be included in the payment link.

    Our safari quotations.

We reserve the right to amend any quoted price in the event of an increase in costs beyond its control. All prices are based on double occupancy, per person sharing, unless otherwise noted, and encompass all associated planning, handling, and operational charges. In addition, we may adjust published prices to account for fluctuating exchange rates, tariffs, taxes, and VAT. Note that no breakdown of costs is available at this time since the price shown is fixed regardless of the changes made to a planned trip to accommodate smaller group size.

Travel Advisory Section.

  • Visa and Passport Requirement

It is essential that you are informed of all passport and visa regulations prior to making your reservation for Tanzania. These requirements are subject to alteration; thus, it is your responsibility to check with the embassy or consulate of Tanzania closest to you for the latest information. It must be noted that Tanzania mandates a passport valid for six months post-travel plus a blank page for visa stamping. Some of the nationalities are eligible to obtain VISA on arrival to Tanzania at any entry point but it’s recommended to obtain it via online portal to avoid a long que at the airport you can always access the visa link via https://visa.immigration.go.tz/ Tanzania official immigration website. We are happy to assist you whenever you face a difficulty during your online filling procedures.

  • Travel Insurance.

Comprehensive insurance coverage is mandatory and must be evidenced by a signed quotation and documentary proof. Such coverage should, among other things, include cancelation due to illness, accident, or injury; personal accident and liability; medical expenses for emergencies; repatriation costs associated with the termination or alteration of a tour; loss of or damage to baggage or sports equipment; evacuation in the field and travel disruptions (this is not an exhaustive list). If the Client fails to take out adequate insurance (or any at all), the Company disclaims all responsibility and liability. Once the insurance has been confirmed and paid for, a policy document will be issued by the insurer. It is important to read this document before beginning travel, so that any queries may be addressed to the insurer before departure.

  • Health Matters.

Ensuring full knowledge of necessary vaccinations and health requirements prior to travel is the responsibility of the individual. To ensure this is done in a timely manner, one should consult a doctor or a specialized Travel Vaccination Clinic at least three weeks before departure to Tanzania, explain to your health practitioner about your upcoming trip to Tanzania and take all the necessary vaccinations or medications. It is essential that travelers to certain regions obtain Yellow Fever Vaccinations at least two weeks prior to their departure from the originating country. The certification evidence of the inoculation must be presented upon request and is valid for a period of up to ten years. Some of the travelers from the lower risk regions aren’t required to show the YF certification unless otherwise they’ve had more than 12 hours layover in a country categorized as a high YF risk region, however, you will need to carry it with you some transit countries might need it.

It is the duty of the party leader or individual to guarantee all group members are equipped with the necessary travel and health documents prior to their journey. All expenses resulting from the acquisition of these documents must be covered by the traveler. Should entry into a transport or country be denied as a result of an individual’s lack of documents, we cannot accept accountability. If any fines, extra costs or charges are imposed upon us as a consequence of an individual’s failure to comply with document requirements, you will be held accountable for reimbursing us.

Should any of your party have any medical or mobility issues, disabilities, allergies, or special requirements related to a medical condition, medication, (including those affecting the booking process or information shared by all persons on the booking) please let us know before you confirm the booking so that we can assist with assessing the suitability of the arrangements and/or make the necessary bookings.

  • Governmental Travel Advice.

Each country publish it’s travel advice on their official website, each traveler should check before departing to Tanzania, US citizens should check here for more travel information https://travel.state.gov/content/travel/en/international-travel/International-Travel-Country-Information-Pages.html and UK citizens must check here https://www.gov.uk/foreign-travel-advice for their travel details. We can’t accept any liability resulted for not checking the right information from the right source, however our travel consultants will always provide you with the up-to-date information but this shouldn’t be taken as an advantage and isn’t guaranteed.

  • Liability.

East Africa Safari Guides Ltd (hereinafter referred to as “EAS Guides”) and its, shareholders, staffs, directors, agents do not manage or carry out any activities that provide services related to customers’ experience. Transportation (by aircraft, safari vehicles), hotel stays, ground handling and other services are sourced from external providers who act as independent contractors. Although EAS Guides selects these independent suppliers with due care and attention, it cannot be held liable for any negligent or willful acts committed by any of them or third parties.

By making a booking, you confirm your comprehension of the potential risks and dangers that may be encountered in taking tours to isolated and hostile environments.

We cannot be held liable for any injury, illness, death, loss (including loss of enjoyment or possessions), damage, expense, cost or other sum or claim of any kind arising from the action(s) and/or inaction(s) of the person(s) concerned or any member(s) of their party or the action(s) and/or inaction(s) of a third party unrelated to the provision of your holiday which could not have been anticipated or avoided or which is deemed an act of ‘force majeure’.

FORCE MAJEURE

We regret to inform that we cannot accept liability or pay any compensation should our contractual obligations be hindered due to factors beyond our control such as, but not limited to, war, riots, civil strife, terrorist activity, epidemics/pandemics, industrial dispute, natural or nuclear disaster, adverse weather conditions, fire and other similar events.

Tour Leader Decision

Our Tour Leaders have the authority to make decisions and take appropriate action that might affect the tour and its participants. Should a participant’s physical state or behavior put the safety, well-being, or enjoyment of the other members of the group in jeopardy, the Tour Leader may require them to leave the tour without a refund.

Documentation Validation & Advisement Materials

We make every effort to ensure the accuracy of all our documentation, including our website, social media channels, itineraries, travel requirements documents, pre-departure information and suggested packing lists. However, errors may still occur and information may subsequently change. It is important to check all details pertaining to your chosen holiday (including the price) with us [or your travel agent] at the time of booking; we suggest you also verify any guidance provided separately for complete assurance.

We may periodically use photos and videos taken on our tours in select outlets for marketing purposes, including, but not limited to, our social media (Facebook and Instagram) and website. Should you wish to withhold permission for any images that include yourself or your tour companions, please inform us.
